Does your fleet use certain vendors on a regular basis? Is there standard information related to each vendor that your company tracks?

Fleets often track unique information about their vendors. Contract rates, call out fees, internal vendor ID numbers, national account arrangements, are all examples of information that may not fit conveniently into private vendor notes, but needs to be available to your Fleet personnel. There is no one size fits all solution, so we created a solution to fit all sizes. TruckDown Advanced Fleet Administrators can create unique data fields to store fleet specific information and have these fields display on all vendor listings, but only when viewed by an authorized member of your fleet group.

Manage What Your Fleet Tracks about Each Vendor

You can manage your Advanced Fleet account’s custom data fields by clicking on the “My Account” menu item and look for a tab called “Custom Data Fields”. This tab will list all of the data fields set-up for your account. You can edit a field (which allows you to change the label for the field), remove a field, or add a new field.

All users in your fleet group will be able to view your custom data fields for each vendor on TruckDown.com. You can add/edit custom data for any vendor.

Note: Only Fleet Administrators can create, remove or rename custom data fields.

Action (Add a New Field): To add a new field to each vendor listing go to My Accounts and then click the tab called “Custom Data Fields”. Click on the link called “Add a New Field”. Give the field a name, click “Update” and you are done.

Result: The new field is now available to all users in your fleet group.

Action (Viewing and Editing Custom Data): All users in your fleet group can see and edit the information in your custom data fields. From the search results page, you can click on the “view listing” icon associated with the vendor you would like to see. If vendor has custom data stored, the “view listing” icon is highlighted in an orange color, otherwise it remains white. To edit the data, click on the “edit data” link and you will be able to enter/change any text you like for any of the fields. This will edit only the data for the currently opened vendor.

Result: Once you edit the data, the latest revision will be stored and viewable by everyone in your fleet group.
